This Privacy Policy explains how the European Institute for Innovation Development collects, uses, stores, and protects personal data provided through this website and related institutional communication.

This Privacy Policy describes how the European Institute for Innovation Development (“EIID”, “the Institute”, “we”, “us”, or “our”) processes personal data when visitors use the website eiid.eu, contact the Institute, apply for internship programmes, subscribe to updates, participate in educational or scientific activities, or otherwise communicate with EIID.

The processing of personal data is carried out in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council, known as the General Data Protection Regulation (“GDPR”), and, where applicable, the laws of the Czech Republic concerning personal data processing.

  • information submitted through contact forms, registration forms, subscription forms, or application forms;
  • information concerning internship applications, educational activities, scientific events, publications, or cooperation requests;
  • copies or scans of documents required for internship or administrative registration, where such documents are submitted by the applicant;
  • payment-related administrative information, where necessary for accounting, confirmation of payment, or communication about participation fees;
  • technical information such as IP address, browser type, device information, access time, and website usage data, where such information is collected by the website or hosting environment;
  • cookie-related information as described in the Cookie Policy.

EIID does not intentionally request sensitive categories of personal data unless such information is strictly necessary for a specific lawful purpose or is voluntarily included by the user in submitted materials. Users are advised not to send unnecessary sensitive personal data through general contact forms.

4. How Personal Data Is Collected

Personal data may be collected directly from the data subject when a user fills in a website form, sends an e-mail, submits an internship application, sends documents, registers for an event, subscribes to updates, or communicates with EIID concerning scientific, educational, publishing, partnership, or administrative matters.

Some technical data may also be collected automatically when a user visits the website. Such data may be processed for website security, operation, diagnostics, statistics, and improvement of website performance.

5. Purposes of Processing

EIID processes personal data only for defined and legitimate purposes connected with its institutional, scientific, educational, publishing, internship, conference, and communication activities.

  • responding to enquiries sent through the website or by e-mail;
  • processing internship applications and related administrative documentation;
  • communicating with applicants, interns, authors, conference participants, partners, and website users;
  • organising educational programmes, scientific events, internships, conferences, and publishing activities;
  • issuing certificates, confirmations, invoices, notices, and other administrative documents;
  • maintaining records necessary for institutional, accounting, legal, or reporting purposes;
  • sending updates, news, announcements, or institutional information where the user has subscribed or otherwise lawfully requested such communication;
  • ensuring website security, technical operation, and prevention of misuse;
  • improving website structure, usability, content, and communication processes;
  • complying with legal obligations applicable to EIID.

6. Legal Bases for Processing

EIID processes personal data only where there is a valid legal basis under the GDPR. The applicable legal basis depends on the specific purpose of processing.

Where processing is based on consent, the user may withdraw consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.

7. Contact Forms, Registration Forms, and Applications

When a user submits a contact form, registration form, internship application, or similar request, EIID processes the submitted data in order to review the request, respond to the user, process the application, and perform the related administrative or educational procedure.

Where documents are required for internship registration or other formal procedures, EIID processes such documents only for the purpose for which they were submitted, including verification of eligibility, registration, certification, administrative communication, and fulfilment of institutional obligations.

Users should submit only those documents and personal data that are required for the relevant procedure.

8. Newsletter and Institutional Updates

If a user subscribes to a newsletter or requests to receive institutional updates, EIID may process the user’s e-mail address for the purpose of sending news, announcements, information about events, publications, internships, educational programmes, scientific journals, and related institutional activities.

The user may unsubscribe or request removal from the mailing list at any time by contacting info@eiid.eu or by using an unsubscribe mechanism if one is provided in the relevant communication.

EIID retains personal data only for as long as necessary for the purposes for which the data was collected, including communication, administration, internship registration, certification, scientific publishing, event organisation, accounting, legal compliance, dispute prevention, and institutional record keeping.

Retention periods may vary depending on the type of data and the purpose of processing. For example, general enquiries may be retained for a shorter period, while accounting records, internship records, certificates, publication-related records, or documents required for legal compliance may be retained for longer periods where necessary.

When personal data is no longer necessary, EIID will delete, anonymise, or otherwise securely limit further processing of such data, unless retention is required by law or necessary for legitimate institutional purposes.

13. Data Security

EIID applies reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration, disclosure, or destruction.
